ADMINISTRATIVE ASSISTANT Full time position (35 hours/week)

As Administrative Assistant and Client Support at Mediatomic Group Inc. you will play an essential role in managing the day-to-day administrative tasks of our growing marketing agency, as well as supporting our e-commerce platforms. You’ll work closely with our dynamic team to keep our internal operations running smoothly and provide excellent service to our clients.

Main responsibilities:

- Provide administrative support to the team
- Collaborate with the client service team to resolve client issues, answer questions and guide clients
- Answer questions and requests for information
- Create quotes
- Produce, revise and/or prepare various documents
- Maintain client files, including contact information, communication histories and specific requests
- Support the team in the preparation of customer-related documents, quotes, reports and presentations.
- Perform clerical tasks such as answering the telephone, processing invoices, monitoring accounts receivable, and coordinating with external service providers
- Assist in the follow-up of projects and mandates
- Contribute to the continuous improvement of administrative processes to increase efficiency and customer satisfaction
- Perform any other related tasks required to achieve objectives.

Job requirements:

- Studies in business administration, secretarial or related field is preferred.
- Previous experience as an administrative assistant or in a similar role, as well as experience in customer support, are assets.
- Excellent written and verbal communication skills in French and English.
- Ability to manage multiple tasks and meet tight deadlines.
- Proficiency in standard office software such as Microsoft Office.
- Proactive, detail-oriented attitude and ability to work independently.
- Ability to maintain the confidentiality of sensitive information.

Job Description
The Digital Media Manager will be responsible for coordinating various marketing projects and supporting the team in project execution. Working closely with the creative team, they will plan, organize, and deploy initiatives for Mediatomic and its clients. The ideal candidate is bilingual, organized, proactive, creative, and able to work well under pressure and within a team.

Responsibilities
• Set up, monitor, and optimize advertising campaigns on platforms such as Google Ads, Meta, TikTok, etc.
• Participate in client meetings to present strategies, plans, and results
• Stay up to date on industry trends, technological advancements, and best practices
• Plan and execute advertising campaigns
• Create content calendars, write, publish, and manage social media posts
• Create content calendars, write, publish, and manage newsletters (Klaviyo, Active Campaign)
• Analyze digital results and performance using tools (e.g., Meta Ads, Google Analytics) and provide recommendations based on findings
• Prepare and present performance reports for digital campaigns
• Manage production and publication schedules to ensure all deadlines are met
• Content creation
• Work closely with the creative team and clients
• Advise and propose solutions that meet client needs and requirements

Desired Profile
• Organized, meticulous, strong sense of priorities
• Initiative, proactivity, attention to detail
• 2–3 years of relevant experience
• Studies in marketing, communications, or other relevant fields
• Knowledge of communication and advertising methods, techniques, and tools
• Knowledge of current digital technologies, major social media platforms, and search engines (Facebook, Instagram, Bing, TikTok, LinkedIn, Google, etc.)
• Ability to anticipate and meet client needs
• Creative and collaborative mindset
• Excellent written and spoken communication skills in French and English
